Most people plan one wedding and perhaps a handful of significant events in their lifetime. A working organiser delivers dozens a year. That gap in repetition is where the value sits — not in taste or contacts alone, but in knowing what goes wrong and when.

What you are actually buying

Planners are usually engaged in one of three ways in the UK: full planning from concept to delivery, partial planning where you have made the big decisions and need help executing, and on-the-day coordination which typically starts four to six weeks out.

  • Realistic budgeting based on current UK supplier pricing, not blog averages
  • Contract review — cancellation terms, force majeure, overtime rates
  • A running order that survives contact with 120 guests
  • Supplier management so you are not the switchboard on the morning

The savings are real

Experienced organisers spot the expensive mistakes early: booking a band that cannot physically fit through the barn door, ordering a marquee 4m too small once the bar and cake table are in, or agreeing a menu that needs a kitchen the venue does not have. Each of those corrections after contracting costs money; before contracting it costs a phone call.

They also know which line items genuinely change the guest experience and which do not, which is where most real budget savings come from.

How to choose one

Ask for two references from events of similar size and format, not just the glossiest wedding on their feed. Check they carry public liability and professional indemnity insurance. Ask who will actually be on site on the day. And meet them — you are going to spend a year exchanging messages with this person, so you should like them.
